Privacy Policy
Draft for review: October 4, 2026
1. Who we are and what this policy covers
EntroutWeb Inc. (“EntroutWeb”, “we”, “us” or “our”) operates entroutweb.com. This policy explains how we collect, use, disclose and retain personal information when you visit our website, contact us, request a quote, use Zeus, communicate with our team or inquire about our services. Our privacy contact is support@entroutweb.com.
Our services include website design and development, Standalone Websites, Theme Suite Websites, EntroutAI-powered services, Zeus, AI Automation and related digital services. A separate client agreement or product-specific notice may explain additional handling when we deliver a project or process information on a client’s behalf. This policy does not replace those arrangements.
2. Information we collect
Information you provide may include your name, email address, telephone number, business name, website address, project requirements, correspondence, quote requests and information included in messages or files. If you become a client, we may also hold billing, contractual and service records. Please share only what is relevant and ensure you have permission to provide someone else’s information.
When you use Zeus or live chat, we may record your questions, responses, conversation timestamps, session identifiers, requested contact details and files shared with our team. We also collect operational information, such as conversation outcomes and usage totals, to maintain and improve the service.
Website and security services may process your IP address, browser and device information, request times, pages or features used, referral information, cookies and similar identifiers. You do not need to provide your name to browse the public website, but browsing is not necessarily anonymous.
Do not send passwords, authentication codes, full payment-card details, government identification numbers or unnecessary sensitive personal information through Zeus or general inquiry forms. If a project needs confidential material, ask our team for an appropriate way to share it.
3. How we use information
We use information to answer questions, prepare proposals, provide requested services, communicate with clients, arrange meetings, send requested transcripts, manage inquiries and support, maintain business records, prevent misuse and protect our systems. We also use relevant feedback, conversation records and website statistics to identify unanswered questions, improve our approved information and assess the quality and performance of our services.
We do not treat a request for a quote, support or a transcript as an automatic newsletter subscription. Promotional communications are handled separately, with consent or another lawful basis where applicable, and include a way to unsubscribe. Service-related communications may still be necessary to respond to your request or manage an existing relationship.
4. Zeus, automated assistance and human review
Zeus is an automated assistant that helps visitors find information about EntroutWeb. To respond, relevant message text and conversation context may be sent to OpenAI, our AI service provider. Some responses are handled without an external AI request. Authorized EntroutWeb personnel may review stored conversations for support, quality improvement and knowledge-base maintenance. We do not describe these conversations as private from our support team.
If you request human assistance, relevant conversation context can be made available to the team handling your inquiry. Team members may use AI-assisted drafting with relevant message text to help prepare a response. Uploaded files are currently provided for human review, rather than direct analysis by Zeus.
Our own conversation records are separate from any records retained by an AI provider for its service operation, security or legal obligations. Provider processing and retention depend on the service and applicable arrangements. For more information, see OpenAI’s Privacy Policy. Do not assume that closing a chat deletes information already processed by a provider.
Email transcripts are optional. If you request one, we use the email address you provide to send the transcript when the session closes. Use an address you control. Email delivery and your mailbox involve separate providers, and deleting a website record does not remove a copy already delivered to your inbox.
5. Cookies, browser storage and security checks
We use cookies and similar browser storage for features such as conversation continuity, preferences and security. Zeus uses browser storage to remember a conversation as you browse between pages. Its current session-memory period is two days after your last interaction. This is a visitor-session setting, not the retention period for our backend records.
Zeus may use a short-lived verification cookie following a successful security check. We use Cloudflare Turnstile to help distinguish legitimate activity from automated abuse. Cloudflare processes technical browser, device and network information for this purpose. See the Cloudflare Turnstile Privacy Addendum.
You can use browser controls to restrict cookies or clear site storage. Doing so may interrupt chat continuity, sign-in or security features and may require another verification. Clearing browser storage does not delete records already held by EntroutWeb or its service providers.
6. Google Analytics and Search Console
We use Google Analytics to understand how people find and use our website and to improve its content and performance. Depending on the configuration and available consent choices, Analytics can use cookies and process information about pages and interactions, referral sources, browser and device characteristics, and approximate location.
We also use Google Search Console to review search visibility, indexing and performance information, including search queries, impressions and clicks reported by Google. Search Console reporting is distinct from the Analytics tracking used on our website.
Learn more about how Google uses information from sites that use its services and Google’s Privacy Policy. Google also offers an Analytics opt-out browser add-on for supported browsers. Browser controls and any consent options presented on our website provide additional choices, although blocking storage can affect functionality.
7. Service providers, external links and international processing
We share information with providers where needed to host and operate the website, deliver communications, provide AI assistance, measure performance, protect against abuse, manage business records or fulfil requested services. Access should be limited to the relevant purpose and subject to appropriate safeguards. Where payment processing is required, the relevant payment service has its own information-handling arrangements; do not send payment-card details through chat.
If you choose Calendly to book a meeting or WhatsApp to contact us, information you provide through that service is also handled under its terms and privacy policy. See Calendly’s Privacy Notice and WhatsApp’s Privacy Policy. Other linked websites or embedded services may have their own notices. We do not control their independent practices.
We may disclose information where legally required, to protect rights and safety, prevent fraud or misuse, or in connection with a business transaction subject to applicable protections. We do not sell your personal information.
EntroutWeb works with clients worldwide. Our providers may process or store information outside Canada, including in the United States. Information processed in another country may be subject to that country’s laws and lawful access by authorities. Contact us if you need more information about relevant service-provider processing.
8. How long we retain information
Retention depends on the record, its purpose, the configured service settings and applicable legal obligations. The current Zeus settings distinguish the following:
Visitor session memory: A conversation can be resumed in the browser for up to two days after the last interaction. Ending a chat resets the visitor experience on dismissal or a later visit, but does not itself erase server records.
AI conversation history: Backend conversation history currently has no fixed automatic expiry. Records remain until administratively deleted, and may be retained for support, quality review and knowledge-base improvement. This does not mean we need to keep every identifiable conversation indefinitely. Retention should remain limited to the purposes described here and applicable obligations.
Email transcripts and live chats: These are currently configured for a 90-day retention period, with eligible records removed through scheduled cleanup. Files linked to live chats follow their records’ retention. There is currently no additional, shorter attachment-only expiry. Cleanup timing can differ from the exact expiry date.
Leads and contact requests: Zeus lead records currently have no fixed automatic expiry and remain until administratively deleted. They may be retained for inquiry follow-up and business relationship management, subject to continued need and applicable obligations.
Client agreements, invoices, project records, security records, provider-held information and email copies can have different retention requirements. Information needed for an active matter, legal obligation or dispute may be retained longer. Copies in backups may remain until the applicable backup cycle expires. To ask about retention or request deletion of your information, contact support@entroutweb.com. We may need to verify your identity and explain any information we must retain.
9. Choices, consent and access requests
You can choose not to use Zeus, decline optional transcript delivery or contact us directly by email. Where consent is required, it should relate to the relevant collection and use. You may withdraw consent, subject to legal or contractual restrictions and reasonable notice; this may limit our ability to provide a requested feature or service.
You may ask to access or correct personal information we hold about you, raise a concern, or request deletion where applicable. Email support@entroutweb.com with enough information to identify your request, but do not send identity documents unless we request an appropriate verification method. We will respond in accordance with applicable law and explain any restrictions. You may also contact the privacy regulator with jurisdiction over your concern.
10. Safeguards and children
We use safeguards intended to protect information against unauthorized access, loss and misuse, including access controls and security checks. No website, communication channel or storage system can be guaranteed completely secure.
Our website and business services are not directed to children. Children should not submit personal information or use inquiry features without appropriate involvement from a parent or guardian. If you believe a child has provided personal information that we should not hold, please contact us so we can review and address it.
11. Changes and contact
We may update this policy as our services or practices change. The date at the top identifies the latest version. Where a change requires additional notice or consent, we will address that as required by applicable law. A policy update does not by itself authorize an unrelated new use of previously collected information.
